SHEET L-02 — PRIVACY POLICY — EFFECTIVE OCTOBER 2026
YOUR DATA.
What we collect, why we collect it, and what we never do with it. Written to be read, not to hide behind.
1. WHO WE ARE
Plansheet is operated by Headlight ("we", "us"). This policy explains what we do with information when you use the service at plansheet.io. If you use Plansheet for an organization, that organization is the owner of the content you put in, and this policy covers how we handle it on their behalf.
2. WHAT WE COLLECT
We collect only what we need to run the service:
Account information. Your name, email address, and password (stored only as a one-way hash). If you sign in through Google or GitHub, we receive your basic profile and email from them.
Your content. The visions, plans, work items, documents, whiteboards, and other material you create or upload.
A mobile phone number, only if you add one. If you choose to turn on text-message sign-in codes or text alerts, we store the number you give us and whether you have confirmed it. Giving us a number is optional, and you can remove it at any time.
Usage and device data. Standard log information such as your IP address, browser type, and the pages and actions you take in the app, which we use to keep the service working and secure.
3. HOW WE USE IT
We use this information to provide and maintain the service, to sign you in and keep your account secure, to send the messages you ask for, to respond when you contact us, and to understand and improve how the product works. We do not sell your personal information, and we do not use your content to build advertising profiles.
4. TEXT MESSAGES (SMS)
Text messaging is off until you turn it on. You opt in from your notification settings by entering your mobile number and checking a consent box; we then send a confirmation text. After that, we send only the messages tied to the alerts you enable, such as one-time sign-in codes and updates to work items or issues you follow.
Message frequency varies with your activity. Message and data rates may apply. Reply STOP to any message to opt out, and HELP for help. Opting out of texts does not close your account or stop email notifications; you can also remove your number in notification settings.
We never share your mobile number or your text-message consent for anyone else's marketing. No mobile information is shared with or sold to third parties or affiliates for their marketing or promotional purposes. We share your number only with the service providers that help us deliver the messages (our SMS gateway), and only so they can send the texts you asked for. Text-message opt-in data and consent are not shared with any third party for any other purpose.
5. HOW WE SHARE INFORMATION
We share information only in these limited ways: with service providers who process data on our behalf to run the service (for example hosting, email delivery, and the SMS gateway), under agreements that limit them to that purpose; with the other members of your organization, according to how your content is shared inside the app; and when the law requires it or to protect the rights and safety of people and the service. If Plansheet is ever involved in a merger or acquisition, we will give notice before your information becomes subject to a different policy. We do not sell personal information.
6. KEEPING AND REMOVING DATA
We keep your information for as long as your account is active and as needed to provide the service. You can edit or delete your content in the app, remove a stored phone number, and ask us to close your account and delete your personal information, subject to any records we must keep by law. We work to keep your data safe with encryption in transit, hashed passwords, and access controls, but no system is perfectly secure, so keep your own backups of anything you cannot afford to lose.
7. YOUR CHOICES
You can update your profile, change or remove your phone number, turn individual notifications on or off, and opt out of texts with STOP at any time. Depending on where you live, you may have rights to access, correct, export, or delete your personal information; write to us and we will honor them where they apply.
8. CHILDREN
Plansheet is a tool for work and is not directed to children. We do not knowingly collect personal information from anyone under 13 (or the minimum age where you live). If you believe a child has given us information, write to us and we will remove it.
9. CHANGES TO THIS POLICY
We may update this policy as the service changes. When we make a material change, we will update the effective date at the top and, where reasonable, give notice in the app. Continuing to use Plansheet after a change means you accept the updated policy.
10. CONTACT
Questions about privacy, or a request about your data, go to hello@plansheet.io. We would rather answer early than leave you guessing.
ADDENDUM A — TEXT MESSAGE OPT-IN
This is the screen where you turn text messages on, inside Plansheet under Settings → Notifications. Text messaging is off until you do this. You enter your mobile number, read the consent language, and check the box agreeing to receive the messages; only then does the button to send a verification code turn on. After you confirm the code we text you, we send a short welcome message and begin sending only the alerts you switch on below. Plansheet runs in a light or a dark theme; the same screen is shown below in both.
THE SAME SCREEN IN THE LIGHT THEME:
OPT-IN IS EXPLICIT: A NUMBER, THE CONSENT LANGUAGE, AND A CHECKBOX THAT GATES THE VERIFICATION STEP.
